Version 1.1 · Last updated 12 August 2026 · Next review 12 February 2027
This policy explains what personal information Celegant Braiding Academy collects through celegantbraidingacademy.com and in our classroom, why we collect it, who else sees it, how long we keep it, and what you can make us do about it.
We handle personal information under Alberta’s Personal Information Protection Act (PIPA), and, where it applies, Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada’s Anti-Spam Legislation (CASL).
Please read this before you read anything else. This policy is written in good faith and in plain English, to the standard normally used by training providers in Canada. It is not legal advice, and it is pending review by a lawyer. If any part of this matters to your decision, phone (587) 873-9331 and we will confirm it in writing before you give us anything.
The short version
- We collect your name, email, phone and a few questions about your situation only when you choose to fill in a form.
- We use it to send you the curriculum, answer you, and tell you about intake dates, pricing and funding.
- We do not sell or rent your personal information. Ever. To anyone.
- Every marketing email has a one-click unsubscribe, and you can ask us to delete you at any time.
- We do not see or store your card details. Square handles payment.
- There is currently no analytics software and no advertising pixel on this website, and you can check that in your browser. We do plan to add analytics and advertising tags, such as Google and Meta, in future. This page will be updated before they go live, and you will see a consent notice.
1. Who is responsible
Celegant Braiding Academy, Unit 316, 8925 51 Ave NW, Edmonton, AB T6E 5J3. We are registered in Alberta.
PIPA requires an organisation to name someone accountable for personal information. Ours is the Privacy Officer, Chukwuebuka Ibeabuchi, Celegant Braiding Academy. Contact details are in section 14.
2. What we collect, and when
When you download the curriculum
The form at Download the Curriculum asks for:
- First name and last name, so we know who we are writing to.
- Email address, to send you the curriculum and follow up.
- Phone number, to text you intake dates and answer quick questions.
- Program of interest, so we send you the right information.
- Where you are starting from: complete beginner, self-taught braider, licensed stylist or salon owner. This is so our follow-up is relevant rather than generic.
- Employment status: employed full time, employed part time, self-employed, not currently working, student, or prefer not to say. Employed, self-employed and out-of-work people qualify for different training funding in Alberta, and this lets us point you at the right one.
- An optional question, if you want to ask us something.
- Your consent, a tick box you must actively select before we send you anything beyond what you asked for. It is never pre-ticked.
Recorded automatically with that form
When you submit a form we also record, attached to your entry:
- The page you were on when you submitted it.
- The website that sent you to us, if there was one.
- The campaign parameters in the link you arrived on, if there were any. These are the tags marketers add to a link, such as
utm_source,utm_medium,utm_campaign,utm_termandutm_content. They tell us that a lead came from, say, an Instagram post rather than a Google search. They say nothing about you personally. - The date and time, which is also our record that you gave consent.
We are spelling this out because most websites collect exactly this and almost none of them tell you.
When you ask to enrol
The form at Enrol asks the same things, plus which intake you want and how you would like to pay.
When you contact us
If you phone, text, email or message us on social media, we keep what you send so we can answer it and so we know what we already told you.
When you become a student
We then collect and hold your enrolment record, attendance, assessed work and marks, your health declaration, your signed waiver, your photography consent choices, an emergency contact, and payment references from Square. Health declarations are treated as the most sensitive thing we hold. See section 5.
When you are a model
Your name, contact details, an emergency contact, the allergy and scalp information on your model agreement, and your separate photography choice. See Model policy and waiver.
Automatically, when you browse
Our web host keeps standard server logs: IP address, browser type, the pages requested and when. That is a normal part of running a website and we do not use those logs to build a profile of you.
What we do not collect
We do not collect your date of birth, home address, financial details, government identification, or immigration status through this website. We never collect or store card numbers anywhere. If a program ever needs something extra, we will ask separately and tell you why.
3. Why we use it
| Purpose | What that means in practice |
|---|---|
| Doing what you asked | Emailing you the curriculum PDF |
| Answering you | Replying by email, phone or text |
| Relevant follow-up | A short series of emails about the program, intake dates, pricing and funding, only if you ticked the consent box |
| Sending the right thing | Using your program interest, starting point and employment status so you get information that actually applies to you |
| Running your enrolment | Confirming your seat, issuing payment links, sending joining instructions |
| Keeping you safe in class | Health declarations, allergies, patch testing, emergency contacts |
| Assessing and certifying you | Attendance, marks, certificates, and confirming completion if you ask us to |
| Knowing what works | Counting, in aggregate, which pages and campaigns produce enquiries |
| Legal and accounting | Records we are required to keep, and defending a claim if one is ever made |
We do not use your information for automated decision-making, credit scoring or profiling beyond the simple sorting described above. Nothing about you is decided by a machine.
4. Consent, and how to withdraw it
Under CASL we only send you marketing email if you gave us express consent by actively ticking the box. It is never pre-ticked, and it is never a condition of getting the curriculum PDF you came for. We keep a record of when and where you consented, because CASL requires us to be able to prove it.
Every marketing email carries a working one-click unsubscribe. You can also reply with the word stop, phone (587) 873-9331, or email info@celegantbraidingacademy.com. We action it within 3 business days, and never later than the 10 business days CASL allows.
Unsubscribing from marketing does not stop essential messages about a program you have actually paid for, such as a room change or a cancelled session.
5. Who else sees it
Only the people at Celegant who need it to do their job, and the service providers below, who get the minimum they need.
| Who | What they get, and why |
|---|---|
| Our website host | Everything submitted through the website is stored on the servers they run for us. Our host is currently based in the United States. If we change host we will update this page |
| Our email and CRM provider | Your name, email and phone number, to deliver the curriculum, answer your enquiry, and send any follow-up you consented to |
| Square, our payment processor | Your name, email and the amount. Your card details go straight to Square. We never see them, and Square’s own terms cover that transaction |
| Afterpay, if you choose instalments | Whatever Afterpay asks you for directly. Your instalment agreement is with them, not with us |
| Meta and TikTok, for advertising | See section 10. Today, no tracking code from either company runs on this website |
| Our accountant, and government where required by law | Payment and tax records |
We do not sell, rent, trade or hand over your personal information to anyone for their own marketing. Nobody buys our list, because there is nothing to buy.
Health declarations are different. They are seen by your instructors and by nobody else. They are never shared with an employer, a funder, another student, or any of the providers above.
We may disclose information if the law requires it, for example under a court order.
6. Your information leaves Canada
PIPA requires us to tell you this plainly, so here it is. Some of your information is stored and processed outside Canada, mainly in the United States. Our website host, our email provider and our payment processor are all United States companies or use United States infrastructure.
That means your information may be accessible to United States courts and law enforcement under United States law, and we cannot prevent that. If you would rather not send us your details through the website, phone (587) 873-9331 or come to Unit 316 instead.
Questions about how your information is handled outside Canada go to our Privacy Officer, section 14.
7. How long we keep it
| Record | How long |
|---|---|
| Enquiry and lead records where you never enrolled | 24 months from your last contact with us, then deleted |
| Proof of your marketing consent | 3 years after you unsubscribe, because CASL requires us to be able to show it |
| Student records: enrolment, attendance, marks, certificate | 7 years after your program ends, so we can verify a certificate for you later |
| Health declarations, waivers and model agreements | 10 years, because that is the outer limit for bringing a claim in Alberta |
| Photography and filming consent forms | For as long as we use the image, and 3 years after we stop |
| Payment and accounting records | 6 years after the end of the tax year, as the Canada Revenue Agency requires |
| Complaint records | 7 years after the complaint is closed |
| Website server logs | 12 months |
Ask us to delete you and we will, except where the law says we have to keep something. If that happens we will tell you exactly what we are keeping and why.
8. How we protect it
- The whole site runs over HTTPS.
- Forms carry spam protection and are validated on the server, not just in your browser.
- Access to personal information is limited to people who need it, on individual named accounts, not a shared login.
- Paper records, including health declarations and waivers, are kept locked at Unit 316.
- We do not store card details at all, anywhere.
No system is perfectly secure, and anyone who tells you otherwise is selling something. If a breach ever created a real risk of significant harm to you, we would tell you, and we would report it to the Office of the Information and Privacy Commissioner of Alberta as PIPA requires.
9. Your rights
Under Alberta PIPA you can:
- Ask what we hold about you, and get a copy of it.
- Ask us to correct it if it is wrong or incomplete.
- Withdraw your consent to marketing, at any time.
- Ask us to delete it, subject to the retention rules in section 7.
- Ask who we gave it to, and what we used it for.
- Complain, to us first and then to the Information and Privacy Commissioner.
Email info@celegantbraidingacademy.com or phone (587) 873-9331. We aim to answer within 15 business days, and PIPA requires us to answer within 45 days. There is no charge for a normal request. If a request is unusually large we may charge a reasonable fee, and we will quote it before we do any work so you can decide.
We may need to confirm who you are before we hand over a record, which is protection for you rather than an obstacle.
10. Cookies, analytics and advertising
This section is written to describe what this website actually does today, not what a template says it might do.
Cookies
This site sets no advertising cookies and no analytics cookies. WordPress and our page-caching software may set strictly necessary cookies, for example to remember that you are logged in as an administrator or to serve you the right cached version of a page. Those are needed for the site to work and cannot be switched off.
Analytics
There is currently no Google Analytics, and no third-party analytics of any kind, on this website. What we know about traffic comes from our host’s server logs. You can check this yourself in your browser’s developer tools, and we would encourage you to, because plenty of sites say this and are not telling the truth.
Meta and TikTok
We may advertise the Academy on Meta platforms (Facebook and Instagram) and on TikTok. We are not running campaigns on either platform today. Two things to be clear about, for when we do.
- Today there is no Meta pixel and no TikTok pixel on this website. Neither company receives anything about your visit here.
- What we may do is give those platforms a scrambled, one-way version of an email address, called a hash, so they can show our adverts to people like our existing enquirers, or stop showing adverts to somebody who has already enrolled. The platform cannot read the email address from the hash. It can only check whether it matches an account it already has.
You can opt out of that at any time by emailing info@celegantbraidingacademy.com and asking us not to include you in advertising audiences. It costs you nothing and changes nothing else.
If any of this changes
If we add analytics or an advertising pixel to this site, we will update this section before it goes live, change the version number at the top of this page, and put a consent notice on the site that asks you first and lets you say no.
11. Young people
This website is written for adults, and we do not knowingly collect information from anyone under 16. Our programs accept students aged 16 and 17 only with a parent or legal guardian, who signs and receives copies of everything. See section 5 of our Terms of Enrolment.
If you believe a child has given us their details, tell us and we will delete them.
12. The other Celegant businesses
Celegant Beauty and Celegant Hair Edmonton operate at the same address, under a separate company, with their own websites and booking systems. This policy covers celegantbraidingacademy.com and the Academy only. If you shop with the store or book a salon appointment, their own privacy terms apply to that.
We do not pass Academy enquiry data to the store or the salon for their marketing, and they do not pass theirs to us. If that ever changes, we will ask you first and this page will say so.
13. Changes to this policy
The version number and date at the top of this page change whenever we change anything. For a material change, such as adding a new recipient of your information or a tracking tool, we will email everyone on our list before it takes effect, not after.
