Refunds, withdrawals and rescheduling

This policy applies to every Celegant Braiding Academy program unless your written enrolment confirmation says otherwise. It forms part of our Terms of Enrolment.

Please read this before you read anything else. These terms are written in good faith and in plain English, to the standard normally used by training providers in Canada. Every term below has been reviewed and approved by the Academy. They are not legal advice, and they are still pending review by a lawyer. If any part of this matters to your decision, phone (587) 873-9331 and we will confirm it in writing before you pay anything.

The short version

  • Ten days to change your mind, from the day we confirm your place, with everything refunded.
  • The more notice you give, the more you get back. There is a fixed schedule below and we apply it the same way to everybody.
  • If we cancel or move a cohort, you get a full refund or the next cohort. Your choice, no questions.
  • You can defer once to a later cohort, free if you tell us at least 14 days before the start.
  • The online program has its own terms, because digital content is delivered the moment you buy it.
  • Nothing here removes your rights under Alberta’s Consumer Protection Act.

1. Cooling-off period

You have 10 calendar days from the date we confirm your place in writing to cancel and receive a full refund. No administration fee. No reason needed. Tell us in writing and that is the end of it.

Two limits, stated plainly:

  • If you enrol fewer than 10 days before the program starts, your cooling-off period ends when the first session begins. After that, section 3 applies.
  • For the online program, the cooling-off period works differently. See section 10.

2. Cancelling before the program starts

Once your cooling-off period has passed, this is the schedule. Notice is counted from the day we receive your written cancellation to the first scheduled session of your cohort.

If you simply do not appear and we hear nothing from you, we treat it as a cancellation on the date of the first session and refund 75%. We would still rather you told us, because with only 8 seats in the room your silence costs somebody else a place.

Your kit. The student kit is included in your tuition at no extra charge. If it has already been issued to you, either return it unused and we deduct nothing, or keep it and we deduct $99, which is what the kit costs us. That figure is fixed and is the same for everybody.

3. Withdrawing after the program has started

Once teaching has begun, refunds are worked out pro rata, based on how many of your program’s scheduled contact hours have been delivered on the day we receive your written notice. Not how many you attended. The hours we scheduled and ran.

A worked example. The Foundations Intensive is 60 contact hours across 20 sessions of three hours. 10% is 6 hours, which is the first two sessions. So if you withdraw after session two but before session ten, you are in the 50% band. We will show you the arithmetic in writing when we process it.

The kit rule in section 2 applies here too.

4. Moving to a later cohort

Sometimes life moves and the course does not have to. You may defer your place once.

  • 14 days or more before the start date: free.
  • Fewer than 14 days before the start, or once the program has begun and no more than 30% of the contact hours have been delivered: a $150 transfer fee, and you cannot also claim a refund later for the sessions you have already missed.
  • After 30% of the contact hours: we cannot defer you. You can withdraw under section 3, or finish.

A deferred place is valid for 12 months from your original start date and is held at the price you already paid, even if tuition has gone up in the meantime. If nothing suitable runs inside those 12 months, we refund you in full. A second deferral is at our discretion and is not a right.

5. Giving your place to someone else

You may pass your place to another person up to 7 days before the start date, once, with no fee, provided we approve it in writing and the person taking it meets our enrolment terms and completes the health declaration and waiver. Any money moves between the two of you. We refund nothing and charge nothing.

6. Missing individual sessions

Missing a session does not entitle you to a refund or a credit for that session. What it affects is your certificate.

You need at least 80% attendance to be certified. On the Foundations Intensive, which runs 20 sessions, that means you can miss up to 4 and still qualify. The rest of the rules on lateness, notifying us, catching up and what happens if you fall below 80% are in Attendance and code of conduct.

7. If we cancel or reschedule

This is the part we are happy to commit to without any hedging.

If we cancel a cohort, you choose: a place in the next available cohort, or a full refund of everything you paid for the cancelled instruction. No administration fee, no reason required, no argument.

  • We will tell you as early as we can, and we aim to give at least 7 days notice of a cohort cancellation. If we have less warning than that, so will you, and we will say why.
  • We notify you by email and by phone, using the details on your enrolment.
  • Refunds are issued within 10 business days of you telling us which option you want.
  • If we move a single session, for instance because of weather or illness, we run it at another time inside the same program, normally within two weeks. If you cannot make the new time, that session does not count against your 80%.
  • We do not reimburse travel, parking, childcare, time off work or lost earnings. Please do not book anything non-refundable around a class date.

8. If you are paying by Afterpay instalments

Square offers Afterpay at checkout: four interest-free instalments. This is the part people most often get wrong, so here it is plainly.

  • Your instalment agreement is with Afterpay, not with us. Withdrawing from the program does not cancel it, and we cannot cancel it for you.
  • Keep paying Afterpay on schedule while any refund is being worked out. Stopping payments will cost you late fees that we cannot refund.
  • Any refund we owe you goes back through Square to Afterpay. Afterpay then applies it to your plan, which reduces or clears the instalments you have left, and returns any surplus to your card.
  • Late fees, interest or charges applied by Afterpay are between you and Afterpay. We do not receive them and cannot waive them.
  • If you withdraw and the refund due is smaller than what you still owe Afterpay, you remain responsible for the difference.

9. Employer-funded and grant-funded places

  • Refunds go back to whoever paid. If your employer or a grant programme paid your tuition, the money returns to them, not to you, even if you were the one who asked to withdraw.
  • If funding is declined or withdrawn after we have confirmed your place, and that is not your fault, you can either take over the payment yourself or cancel. If you cancel before the program starts we apply the schedule in section 2 but waive the administration fee.
  • If your employment ends mid-program and your employer stops paying, tell us straight away. We will normally offer a free deferral rather than hold you to a course you can no longer afford.
  • We confirm attendance and completion to a payer who has asked and who you have agreed can receive it. We do not disclose your marks, and we never disclose your health declaration.

10. The online program: Certified Salon Business Professional, The Empire Blueprint

This one is different, and it is different for a real reason. It is recorded video delivered in full the moment you get your login. There is no seat to release and no cohort to refill, and once you have watched it you cannot un-watch it. So the terms above do not apply. These do.

  • 14-day refund window. You can ask for a full refund within 14 calendar days of the date we grant you access, provided you have opened no more than 20% of the lessons. Our system records progress, and we will show you the figure we relied on.
  • After 14 days, or after 20% of the lessons, there is no refund. We are stating that clearly rather than burying it, because it is the single most common complaint in the online course industry.
  • Lifetime access means for as long as we offer the program, and never less than 36 months from the day you get access. If we retire it, you get at least 90 days notice and we make the material downloadable where our licences let us.
  • Part 2, Scaling Your Empire, does not exist yet. It is included at no extra cost when it is released. You are not buying it today, and we are not going to pretend you are. If we have not released Part 2 within 24 months of your purchase, you may ask us for a refund of 20% of what you paid, or a credit of the same value against any other Academy program.
  • If you cannot access the program because of a fault on our side, and we cannot fix it within 14 days of you telling us, you get a full refund whenever that happens.
  • Your login is personal. It cannot be sold, shared or transferred to anyone else.

11. Exceptional circumstances

We would rather deal with a person than a policy. Serious illness or injury, bereavement, a caring emergency, a sudden immigration or employment change: talk to us.

Discretion here sits with the Academy Director. We may ask for reasonable supporting evidence, such as a note from a doctor or a letter from an employer, and we keep anything you give us confidential and delete it once the decision is made. The usual outcome is a free deferral rather than a refund, because that is normally what actually helps. That is a discretion, not a right. It is a decision we make case by case, and we will explain it either way.

12. How to ask for a refund, a deferral or a transfer

Put it in writing. Email info@celegantbraidingacademy.com, or post a letter to Unit 316, 8925 51 Ave NW, Edmonton, AB T6E 5J3. A phone call is a good way to start a conversation but it does not start the clock.

Tell us: your full name, the program, your cohort start date, what you are asking for, and the date. That is all.

  • Your notice takes effect on the day we receive it, not the day you sent it.
  • We acknowledge it within 3 business days.
  • We give you a decision, with the arithmetic, within 10 business days.
  • Approved refunds are returned to the original payment method within 10 business days of that decision. We cannot refund to a different card or to somebody else’s account.

13. If you disagree with our decision

Say so. There is a proper process with stages and deadlines in Complaints and dispute resolution, and it includes the external routes available to you in Alberta if we cannot sort it out between us.

Nothing in this policy limits your rights under Alberta’s Consumer Protection Act or any other legislation that cannot be contracted out of.
